Please see below for a list of resources that can be downloaded and used to help you with membership in your club!

Michael Thompson, your Lieutenant Governor of Marketing, hosts monthly M and M evenings to provide membership and public relations officers with tools they require to boost their club's membership. Here are some files to help you with your Vice President of Membership role for 2010-2011.

Membership Role Hints ( PDF | DOC ) - I hope these hints will be helpful to you when planning your year as your club's most successful VP Membership ever!

Very Important Guest Form ( PDF | DOC ) - This form gathers information for you to use to contact the guest, if they do not join today, you can personally follow up and  find out how the guest enjoyed the meeting and invite the guest to come back again. Encourage your guests to also sign the club guest book.

Membership Application ( PDF ) - This is the official application form for membership in Toastmasters International. Try to always have a few membership  forms with you. Then, even if the guest kits are not available, you will be able to sign up a member.  In Canada, we  ask the guests to fill in the first page and sign the back page. Since we must charge to cover the costs of the name badges, US exchange, etc, we fill in the rest of the info on the back. The fee structure form identifies the correct Canadian amount for membership in your club.

Fee structure ( PDF | DOC ) - It is important for all club members to know what your club fees are. Please use this document and revise it fro your club. Hand it to all members so that everyone could sign up a new member immediately, even if you were away.

Guest Kit ( PDF | DOC ) - A Guest Kit can help a guest feel welcome. It gathers contact information which will enable you to reconnect with the guest. It provides information about your club and Toastmasters. It allows the member to join immediately by filling in the membership form and consulting the fee schedule. Use this guest kit to help guests decide to join your club. A guest kit can include a contact sheet, information about your club, the benefits of Toastmasters, your fee structure, a membership application, a club newsletter, a Toastmaster magazine, and more. Be careful not to overwhelm your guests with too much information. I do not recommend describing the whole Toastmaster program from start to DTM. You might scare your guest away.

Induction ceremony ( PDF | DOC ) - After a guest joins, an induction ceremony helps remind us of our promises made when we joined Toastmasters and formally accept the guest as a club member. At this presentation, the new member is often presented with a name tag, a Toastmasters pin, and information about his/her mentor. This should be scheduled as soon as possible after the meeting at which the guest joined your club.

Toastmaster Hats ( PDF | DOC ) - This file may be part of your New Member Kit. This document will help the member to prepare for meeting roles as they take them on.

New Member Kit - At some clubs, as soon as the guest fills out the membership form and completes their payment, the club presents them with a New Member Kit. This kit can include The Competent Communicator Manual, The Competent Leader Manual, a Toastmasters Hats document, a club membership roster, and a Toastmasters magazine. It allows the member to start their program immediately in both leadership and communication.  Once their own kit arrives from Toastmasters International, the member can replace the Competent Communicator and Competent Leader manuals they received in their new member kit by giving the 'new' manuals to the club.

Membership Contests - Toastmasters International runs three club membership contests per year. Clubs can enthusiastically recruit new members and can also earn ribbons for their banners.  As well, individuals who sponsor five members or more within one Toastmasters year, are honoured with a special recognition pins sent directly to the member from Toastmasters International.
